Data governance is the first. Publicly funded and diocesan schools are accountable for how records are held, shared and retained. Ask where data is hosted, which certifications the provider holds and how access is restricted by role. A system with clear, role-based permissions and a full audit trail makes it far easier to show that records are handled properly when a governor, auditor or authority asks.

There is a fair counter-argument, and it is worth naming. More modules can mean more to learn and more to configure, and a school that only needs the basics might feel a broad platform is more than it wants. The answer is that flexibility should let you start small. The presence of forty modules does not oblige you to run forty; it means the tenth and twentieth are there when you need them, without changing systems.

Data mapping comes first. List every type of record your current system holds, from pupil details and attendance to finance and communication history. For each one, agree where it will live in the new platform and what format it needs to be in. This is where problems surface early, because two systems rarely store the same information in exactly the same way. Run a test import on a sample before the full move, check the results field by field, and fix the mapping before you commit real data.

Procurement in the government and Catholic school sectors comes with obligations that a generic feature list will not capture. Before comparing any school management information system, set out the sector requirements you must meet, then judge each provider against them.

None of these five questions guarantees a good outcome on their own, but a vendor unwilling or unable to answer any of them plainly before a contract is signed is worth treating as a warning sign, whatever the rest of the proposal looks like.

A multi-academy trust or independent school signing a multi-year contract with a Compass Education School MIS management information system vendor is making a decision that is expensive and disruptive to reverse. A short list of direct questions, asked before signature rather than after, reduces the risk of discovering a gap once the school is committed.
